Responsibilities:
Client Interaction: Answering and directing phone calls, scheduling client appointments, and providing initial assistance to clients visiting the office.
Document Preparation: Drafting and formatting legal documents, correspondence, and reports. Proofreading and editing documents for accuracy and completeness.
Filing and Records Management: Organizing and maintaining legal files, both electronic and paper records. Ensuring files are up-to-date and easily accessible.
Calendar Management: Scheduling meetings, court dates, and appointments for attorneys. Managing attorney calendars and reminding them of upcoming deadlines.
Billing and Expense Management: Assisting with billing processes, including preparing invoices, tracking billable hours, and following up on client payments. Managing attorney expense reports.
Legal Research Support: Conducting basic legal research using online databases and resources under attorney supervision.
Office Management: Ordering and maintaining office supplies, coordinating office maintenance and repairs, and ensuring office equipment is in working order.
Correspondence: Handling incoming and outgoing mail, emails, and faxes. Distributing correspondence to appropriate parties and responding to routine inquiries.
Team Support: Assisting other administrative staff and legal assistants as needed. Collaborating with attorneys and legal assistants on various projects and tasks.
Confidentiality: Maintaining strict confidentiality of client information and sensitive legal matters.
