Real Estate Personal Assistant

Pasig City, Metro Manila

A real estate personal assistant (PA) provides administrative and logistical support to a real estate agent, broker, or firm. Their responsibilities include managing client interactions, scheduling appointments, preparing marketing materials, and coordinating various aspects of property transactions. Key Responsibilities:

  • Client Management: Greeting clients, answering phone calls, responding to inquiries, and providing excellent customer service.
  • Scheduling and Coordination: Managing calendars, scheduling meetings, showings, and open houses.
  • Marketing and Promotion: Creating and designing marketing materials, managing social media, and promoting properties.
  • Administrative Tasks: Preparing contracts, correspondence, and other documents, managing databases, and organizing files.
  • Transaction Support: Assisting with document preparation, coordinating with other parties involved in transactions, and ensuring smooth workflows.
  • Research and Analysis: Conducting market research, analyzing trends, and staying informed about industry regulations.

Required Skills:

  • Strong organizational and time management skills: Prioritizing tasks, managing multiple deadlines, and staying organized.
  • Excellent communication skills: Both written and verbal, including active listening and the ability to clearly convey information.
  • Proficiency in Microsoft Office Suite and other relevant software: Including database management, email marketing, and social media tools.
  • Knowledge of the real estate industry: Understanding market dynamics, property types, and relevant regulations.
  • Problem-solving skills: Being able to anticipate issues, find solutions, and resolve conflicts.
  • Adaptability and flexibility: Being able to adjust to changing priorities and handle a variety of tasks.

Additional Responsibilities:

  • Preparing properties for open houses.
  • Managing email campaigns.
  • Writing blogs and online content.
  • Liaising with vendors and contractors.
  • Assisting with property listings on the MLS.
  • Tracking marketing metrics and analyzing results.
  • Managing vendor accounts and tenant payment records.
